Moving to MedicarePrepare from another FMO

Transferring FMOs

You can move. It just has to be done in the right order.

There are a couple of steps that need to take place in order to move your affiliation from another FMO to our group. Do them in this order and it's clean. Do them out of order and you can lose a plan year.

First, know what to call us. Every carrier we work with knows us by our legal name:

Use that name on every release request, every email, every form. If you write “MedicarePrepare” on a carrier release, the carrier may not know who you mean.

We use a variety of public-facing marketing names — all State or Federal trademarks under Classic Insurance Agency LLC:

The Process

Two steps. Start them the same day.

These run in parallel, not one after the other. That is the whole trick.

Ask your current upline for a release

This request must go to the top of the hierarchy — not just the local agency you work with day to day. The local office usually cannot release you even if they want to.

Don't know who sits at the top of your hierarchy? Call us and we'll help you find out.

You may have to be persistent. Many competing FMOs will stall you out so you're stuck with them for another season. Ask, then ask again. Put it in writing and keep the thread.

Start the self-release the same dayDon't wait

As soon as you make that first request, start the self-release process. Trust us — you will probably get the runaround. Do yourself a favor and file now.

If your current FMO refuses to give a clean or immediate release, the carriers will generally release you to contract with us in about 90 days from the date you file.

Every day you wait to file is a day added to the end. Filing costs you nothing if the release comes through the easy way.

The blackout windows are the real deadline, not AEP itself. Several carriers stop processing hierarchy changes long before the Annual Enrollment Period opens — UnitedHealthcare from September 1, Aetna from October 1, both through December 31. A transfer filed inside those windows can default to January 1 of the following year. Stack a 90-day waiting period on top and a request made in July is already tight. File now, sort out the friendly version afterward.

One short email does the job. Send it to your current upline, and send the same thing to each carrier's broker services when you file the self-release.

Keep every reply. Forward the whole thread to our contracting team as you go. Written proof that you asked, and when you asked, is what moves a stalled release.

Every carrier handles this differently, and most of them do not publish their rules at all. Below is what we have actually verified, labelled so you can see how solid each item is. For anything not listed, call contracting support and we will confirm the current path with broker services before you file.

Before you file anything, call us. Carriers do not publish their release policies — those live inside broker portals and producer contracts, and they change every plan year. We verify your specific carriers with broker services first so you file once, correctly.
